When your systems get in the way
Charity Digital & Tech Support for Small UK Charities
A website, CRM and digital systems that work together, support your team and make running the charity easier.
Your website is the first thing most people see, and often the first thing that lets a charity down – dated, slow, or hard to donate on. Behind it, the tools that should make the work easier – your CRM, your email, the systems your team touches every day – often don’t talk to each other. We design and build the digital side for small UK charities: the website first, then the systems around it, set up to fit a small team and to keep working once we’ve gone.
Signs Your Charity's Systems Are Getting in the Way
Any of these sound familiar?
- A website that lets you down. Dated, slow, or awkward on a phone, and harder than it should be to donate on. People visit once and don’t come back.
- Systems that don’t talk to each other. The CRM sits apart from the website and email, the same data gets typed in twice, and you can’t see where a donation came from.
- The basics aren’t solid. Hosting you don’t quite trust, generic email addresses, and backups and security you’re never sure about.
- Admin eating the week. Hours going on manual jobs – copying data, chasing files, repeating the same task – that a system should be handling.
- Starting with the right systems. You’re growing, and you’d rather put the right tools in place now than untangle a mess later.
Recognise your charity in one or two of these? That’s what this service is for. Not sure what’s wrong? The free call will help you place it.
How We Design and Build Systems That Work
Understand the charity first, design the right fit, then build it properly – so it lasts
We build for a small team, with your people involved as we go, so they can run it after we’ve gone. The point isn’t a system that impresses; it’s one your team actually uses.
STEP 1
Understand how your charity works
How the team works day to day, what you’ve already got, what keeps breaking, and where the time goes. The design has to fit the charity, not the other way round – so we start by understanding it properly.
STEP 2
Design the right solution
The right tools for a team your size, chosen and joined up on purpose. Part of the job here is stopping you paying for more than you need – most small charities do more with a few things that work together than with a big system nobody has time to run.
What You Get
Systems That Carry the Work
A website that does its job, and the tools behind it working together
- A website that works – quick, clear, easy to donate on, and easy for you to update yourself.
- Systems that talk to each other – website, CRM and email joined up, so information moves on its own instead of being re-typed.
- Reliable basics – hosting you can trust, proper email on your own domain, and backups and security handled.
- Less time spent on repetitive administration – the manual jobs automated, so the team gets its time back for the work that matters.
- A team that can run it – set up and explained so your people use it confidently, without calling us for every change.
Before You Invest in New Systems
Sometimes the most useful thing we can tell you is that you don’t need what you came for
A new website or CRM is usually the first thing people reach for. The real cause often sits somewhere else – an unclear message no new design will fix, a process that needs untangling rather than automating, or work being done twice because no one’s mapped it. Before you spend on technology, it’s worth checking that technology is the fix.
A few things you can work out for yourself first:
- whether the problem is really the technology, or something upstream of it
- whether the website needs rebuilding, or just improving
- what a CRM would genuinely change for how you work
- where the duplicated work is actually coming from
If you want a quick read on where the pressure is really coming from, the Charity Growth Diagnostic checks systems alongside strategy, governance and income – so you find out what needs attention before you commit to a build.
Ways To Work With Us On Your Systems
Once you know what you need, here’s how to get it – three ways in
- Charity Consultation – a single session to talk through a specific decision: a website rebuild, a CRM choice, a system that isn’t working. You leave with a clear recommendation.
- One-off Digital & Tech Project – a defined piece of work, delivered to a timeline: a new website, a CRM setup, email or Microsoft 365 setup, an automation. Scoped up front, yours to keep.
- Ongoing Support Plan – for keeping it all running once it’s live: maintenance, updates and support, so you’re not left on your own with it. Plans start from three months.
Not sure which fits? That’s what the free call is for.
Systems Work Best When the Foundations Work Together
Technology sits on top of everything else – it can’t fix what’s underneath it
No system will rescue an unclear direction or a board that can’t see its numbers. Technology carries the work; it doesn’t decide what the work is. So if the pressure you’re feeling is really coming from strategy, governance or income, that’s where we’d start – the tech lands once there’s something solid under it.
- Charity Strategy Support – if what you need is a clear direction, not a new system. Strategy that guides.
- Charity Governance Support – if the board needs reliable information to oversee the charity. Governance that holds.
- Charity Marketing & Fundraising Support – we build the website, CRM and automation that support fundraising and communications; your team stays in control of the day-to-day campaigns and content. Income that lasts.
Common Questions About Charity Digital & Tech Support
FAQs
We already have a website. Do we need a new one?
Not necessarily. If the current site does the job, we’ll tell you – sometimes the right move is improving what you have rather than rebuilding. We’ll look at what’s actually holding it back before we recommend starting over.
What do you actually build and set up?
Websites, donation and landing pages, your CRM, email and email automation, hosting and domain email, and the connections between them – so information moves between them instead of being re-entered. The aim is a set-up that fits a small team, not a system built for a charity ten times your size.
What CRM do you set up?
We set up Salesforce for charities – the Nonprofit Success Pack – with the basic customisation to fit how you work. If a simpler tool would suit you, we’ll say so rather than push you towards more than you need.
Can you help with Microsoft 365?
Microsoft 365 is free or discounted for eligible charities. We guide you through claiming it and set it up properly – your team’s accounts and email on your own domain.
How long does a website take?
Most sites take a few weeks from start to launch, depending on size and how much is ready to go. We’ll give you a realistic timeline at the start, based on what you actually need.
Do we need any technical knowledge to work with you?
No. We handle the technical side and explain the rest in plain English, and we set things up so your team can manage the day-to-day without us.
Not Sure Digital and Tech Is What You Need? Start With a Free Call
A free call is the best place to start
Book a free 30-minute call. We’ll look at what you’ve got, work out whether new technology is really what you need, and tell you what would help most – even if that’s improving what you have, or sorting something else first. If a build isn’t the answer, we’ll say so. No pitch, no obligation.
